Business Operations Lead (6 month contract)

About the Role:
Join Advanced Systems Group as a Business Operations Lead supporting our client’s Global Studio Services team. If you’re passionate about financial, vendor, and project management—and enjoy keeping operations smooth and efficient—this contract role could be the perfect fit.
Please note: this role is for a 6-month contract term and is based on-site at our client’s office in Santa Monica, CA with remote work flexibility.
What You'll Do:
Oversee financial processes, including opening and tracking Purchase Orders (POs), logging activities, and ensuring everything is closed on time.
Audit budget trackers each month, making sure plans, POs, and PRs are updated.
Partner with Finance to monitor spending, identify risks, and spot opportunities.
Create and maintain budget trackers, troubleshoot issues, and keep them updated with the latest changes.
Provide clear reports to leadership on budget health, vendor use, and operations.
Manage licenses for resource management tools, covering billing, access, and renewals.
Lead the vendor onboarding process and manage vendor records, making improvements as needed.
Draft and submit Statements of Work (SOWs) and related contracts for team projects.
Make sure vendor Certificates of Insurance (COIs) are current and stored correctly.
Conduct project wrap-ups, ensuring all documentation is in place.
Write and update internal procedures so the team stays compliant and efficient.
Suggest and implement system improvements to make daily work easier and less repetitive.
Work closely with cross-functional teams, including production, finance, and legal.
Offer insights on cost optimization and smart resource allocation.
What You Bring:
Expertise in financial tracking, budget forecasting, and procurement processes, including Purchase Order creation and tracking.
Advanced proficiency in project management methodologies and tools.
Proven ability to manage multiple complex operational workflows simultaneously, including vendor onboarding and contract management (SOWs, NDAs).
Strong verbal and written communication skills with the ability to coordinate across internal stakeholders including Legal, Finance, and Creative Services.
Skilled in managing and troubleshooting complex shared spreadsheet tools for financial and project data.
Required Qualifications:
5+ years in business operations, finance, production operations, or a related field.
Experience in a tech company, media company, or in-house production studio.
Experience managing financial budgets, conducting monthly forecasts, and processing purchase requests (POs).
Experience managing vendor relationships, from initial onboarding and documentation (NDAs/COIs) through SOWs and retainer management.
Proven experience working with contracts and vendor management processes.
Experience partnering with Finance and/or Accounting teams.
Advanced proficiency in Excel/Google Sheets and reporting tools.
